Master's Graduation Examination Procedures
International Master Program in Applied Artificial Intelligence (NTOU)
Spring Semester, Academic Year 2025 (114-2)
I. Application for Degree Examination
Application Deadline: Until June 30, 2026Requirement: The "Thesis Proposal Application Form" must have been submitted at least one semester prior to the examination via the AIS.
- Application Timeline: Oral examination applications must be submitted by the middle of the month preceding the exam date.
- For June Defense: Submit by May 15, 2026.
- For July Defense: Submit by June 12, 2026.
- Required Documents: Download from the Academic Information System (AIS) and obtain your advisor's personal signature:
- Application Form for Master's Thesis Examination (2 copies).
- List of Thesis Examination Committee Members (1 copy).
- External Members: For new members not in the system, fill out the "External Member Profile Form" and email it to pannn@email.ntou.edu.tw.
- Venue & Committee Changes:
- Any changes to committee members must be finalized at least two weeks prior to the exam with a formal explanation.
- Reserve a room with ECG310 office (Primary: ECG310 middle meeting room).
- Submit the "External Member Transportation Form" to the Program Office.
II. Oral Examination & Required Documentation
A. Essential Defense Documents
- FormsEvaluation Forms: One copy for each committee member (Download from AIS).
- FormsGrade Record: 1 copy of the Degree Examination Score Calculation Report.
- FormsDegree Certificate: At least 1 copy (The original must be bound in the final physical thesis).
- FormsReview Opinion (I & II): Each member must sign these forms separately.
- FormsConvener Form: Thesis Verification Form signed by the committee convener.
B. Post-Defense Administrative Tasks
- Honorarium Receipt: Collect the Receipt/Payment Ledger from the Office one week before the exam and return it on the day of the defense.
- Originality Check: Submit the "Thesis Originality Checklist" and "Similarity Report" signed by the Advisor.
- Publication Submission: Submit a formatted publication draft (journal/conference style) to pannn@email.ntou.edu.tw.
- Thesis Embargo: If the thesis involves confidential data, patents, or legal restrictions, submit the "NTOU/NCL Application for Embargo of Thesis" along with supporting evidence. Requests for reasons other than the three mentioned above will not be accepted.
C. Final Thesis Submission (Full-Text)
- Once finalized, upload the thesis to the NTOU E-Theses & Dissertations System.
- Before uploading, please carefully read the "Thesis Submission Flowchart" and "Archiving Instructions."
- After the system verifies and approves your submission, you will receive an automated email. Only then should you proceed to the Program Office for school-leaving procedures.
D. Important Reminders
- Title Consistency: The Chinese and English titles recorded in the 1) Score Calculation Report, 2) AIS System, and 3) Physical Thesis submitted to the Library and Registrar must be identical. If there are any changes, ensure the "Revised Thesis Title" is clearly updated on the Score Calculation Report.
- Format Compliance: The thesis must strictly follow the "NTOU Thesis Format Specifications (Revised 2023.06.07)".

III. School-Leaving & Diploma Collection
Final Completion Deadline: July 31, 2026
Note: Absolute deadline for final revisions and all procedures is August 14, 2026, at 5:00 PM. Failure to cancel an unheld exam by the semester end results in a failing grade.
Step 1: Online Procedures
- OnlineCompetency Survey: Complete the graduate core competency achievement questionnaire.
- OnlineAIS Exit Registry: Register for leave, upload a 2-inch photo, and update contact Email (Digital diplomas will be sent here starting Jan 2026).
Step 2: Program Office Clearance
Visit the Office to return equipment/keys and submit the following documents:
- Committee Review Opinion Forms (I & II).
- Planned Thesis Publication Statement.
- Final Degree Examination Score Calculation Report (with final titles).
- Originality Comparison Report & Checklist.
Step 3: Final Collection at Registrar’s Division
Personally bring the following to collect your diploma:
- Student ID Card.
- School-Leaving Confirmation Sheet.
- 1 Physical Thesis Copy (Hardbound, including the Original Degree Examination Certificate).
- National Central Library (NCL) Authorization Form.
- Similarity Report & Signed Checklist.
